ADP payroll pricing is the set of plan fees, per-employee charges and add-ons ADP bills for running payroll, and teams that wire those costs into their own Activepieces flows tend to see the totals more clearly.

Activepieces pricing page with four subscription tiers showing costs, features, and call-to-action buttons

The base price on its page covers only the first of those.

As read on 2026-11-03, ADP's pricing page gives you a starting point, not a monthly bill. Headcount, how often you pay people, the add-ons you switch on and the setup terms all move the total.

What ADP payroll pricing includes

What the price is made of

Expect four components on the bill: a plan fee, a charge per employee, add-ons such as time tracking or HR tools, and setup terms.

Add staff and you pay more every month, not once, because the per-employee charge is the one that scales. The add-ons are where a quote drifts from the advertised number.

The tier grid below, from Activepieces, shows the shape vendor pages tend to take: priced tiers at $0, $20 and $200 a month, and an Ultimate column with no price that sends you to sales.

I haven't confirmed any dollar figure against ADP's page, so this section states none. Any number quoted elsewhere is a reason to check the page yourself before you rely on it.

If you're pricing payroll into a client retainer, a base price you can't reproduce means someone else's headcount or add-ons are quietly subsidizing yours.

If you are running this arithmetic for your own team, see what the same workload costs on Activepieces.

Current ADP payroll plans and limits

If you're pricing payroll into a client retainer, a base price you can't reproduce means someone else's headcount or add-ons are quietly subsidizing yours.

"Quote-only" in the table means ADP shows no figure on its pricing page.

Here are the four plans in Run Powered by ADP, the company's small-business payroll product. The tiers differ mainly in HR depth and support, while every price and cap sits behind a quote.

Plan Base monthly price Per-employee price Tax filing Direct deposit HR tools Support level Headcount cap
Essential Payroll Quote-only Quote-only Included Included Payroll only Standard Quote-only
Enhanced Payroll Quote-only Quote-only Included Included Added HR tools Standard Quote-only
Complete Payroll and HR Support Quote-only Quote-only Included Included HR support and time tracking Expanded Quote-only
HR Pro Payroll and HR Quote-only Quote-only Included Included Full HR suite Highest Quote-only

Because every row includes tax filing and direct deposit, neither justifies moving up a tier. What you pay extra for is HR tooling and support.

ADP payroll headcount limits by plan tier

One limit bites: the headcount cap. ADP doesn't publish it per plan, so ask for it in the quote.

A plan that fits today can force a mid-year move once the client hires, and the new tier's per-employee rate then lands on the invoice you already agreed.

Get the cap and the per-employee rate for the next tier up before you sign, so you price growth into the retainer from the start.

What ADP plans cost at realistic headcounts

At a 10-person team, ADP's four plans are quoted individually, so plan selection is one of the higher-impact spending decisions for small businesses this size.

Four coin stacks of clearly different heights in a row on a shelf, the shortest half the height of the tallest, with a…

The plan that looks cheapest at five people may not stay cheapest as you add staff and add-ons.

Five employees

For a team of five, I'm using the published 10-person figures as the ceiling.

, which is the number to quote a client only if they need nothing beyond payroll, so clients needing more than basic payroll require a higher pricing tier.

Anything they add, such as time tracking or HR support, is a separate line, and a shared account will quietly absorb those costs unless you bill them out.

Twenty-five employees

I don't have a published base-plus-per-employee split for any plan, so I won't invent a 25-person total. The 10-person figures still show the spread.

What a 10-person team pays across ADP RUN plans

Once a client needs those add-ons, Enhanced's the cheaper plan, and you should compare the two on the add-ons that client actually uses. Ask ADP for each plan's per-employee rate, then multiply by 25 yourself.

One hundred employees

At 10 people, HR Pro is $245 a month, which is $126 above Essential's base. At 100 employees, any per-employee charge is ten times what it's at 10 people, so a small gap in rate becomes the largest line on the invoice.

Get the per-employee rate in writing for each plan before you price a retainer at this size.

Hidden ADP costs and limits buyers run into

Beyond the base rate, the bill grows in four places: add-ons, per-event fees, contract terms and plan ceilings.

ADP's pricing page lists add-on modules and plan changes, but extra payroll run fees are not priced there, so confirm them in the quote.

Year-end form fees, setup charges, contract length and renewal, and support tiers are all ask-in-quote items with no public price to check against.

According to EightX, the Essential base is $119 a month. Time tracking adds $60 and W-2 processing $17, so a 10-person bill reaches $196, about 65% above the headline. Budget the $196.

The flow that keeps a missed timesheet from becoming one of those $25 runs is metered differently.

Activepieces' pricing page lists 1 credit per flow run, any number of steps, so splitting the field check, the payroll write and the Slack alert into separate steps costs nothing extra.

Zapier's pricing page bills per task and Make's bills per module, which means the same three-step flow is metered three times there. MoneyGram, Moneypenny, Alan and FundingSocieties run Activepieces in production.

ADP payroll setup fees and contract terms

Amendments cost $70, or $150 across multiple states, which makes a multi-state correction more than double a single-state one.

What ADP's one-off extras cost per occurrence

W-2/1099 filing is $290, so a year-end line you assumed ADP bundled can cost more than a month of base pricing. Term length and renewal terms aren't published, so get them in writing.

The 11th hire may move you to a different plan, because ADP tiers plans by headcount. Ask what the next tier costs before you cross the line.

Ask the rep:

  1. Which fees above are included in my quoted price?
  2. What's the renewal rate, and how much notice do I need to cancel?
  3. What does support cost at my tier?
  4. At what headcount does my plan change?

Put the answers on the quote itself, since a verbal "that's included" won't hold at renewal.

Worth checking against a plan that does not meter every step: one credit covers a whole run on Activepieces.

ADP compared with the closest payroll alternatives

Of the four, ADP's the one where you most need that written quote, because its price is built in a sales conversation rather than read off a page.

ADP vs Gusto, Paychex and QuickBooks pricing

Five things move your invoice, and the table below sets ADP beside Gusto, Paychex and QuickBooks Payroll on each. The pattern to take from it is that the cheaper-looking options publish more, so you can price them before talking to anyone.

Vendor Base price Per-employee price Pricing transparency Tax filing included Best-fit headcount
ADP Set by quote Set by quote Low: sales-led Depends on plan; confirm on quote Mid-size and growing
Gusto Shown on its pricing page Shown on its pricing page High: public tiers Check per tier Small teams
Paychex Set by quote Set by quote Low to moderate Depends on plan; confirm on quote Small to mid-size
QuickBooks Payroll Shown on its payroll page Shown on its payroll page High: public tiers Check per tier Very small teams

Since two vendors publish and two quote, you can't line them up until you've collected the same inputs from all four: headcount, pay frequency, add-ons and setup terms.

When you're small and simple, ADP costs more. A ten-person team paying on one schedule is funding quote-based flexibility it never uses, and a published-tier vendor will likely come in lower.

A single person in a small rowboat sits at the oars of an enormous multi-oared galley hull far too big for one rower, with…

ADP earns its price once headcount grows, pay schedules multiply, or you need compliance support across several states. Then a quote built around your real usage can beat a tier you'd outgrow. Make sure the quote shows tax filing and setup terms line by line.

Automating the data that feeds ADP payroll with Activepieces

Don't expect Activepieces, an MIT-licensed automation platform with 746+ integrations, to run payroll or lower ADP's price. It moves the approved inputs into ADP so fewer errors and off-cycle runs land on your invoice.

Those line items, in turn, are the ones the quote above made visible.

Which ADP payroll data handoffs to automate

Price a payroll run backward from what it costs when it goes wrong.

A missed timesheet, a new hire keyed in late, or an expense approval that never reached payroll each tends to become a correction or an off-cycle run, and whoever absorbs that extra work quietly subsidizes a client on a shared account.

Automate three handoffs: approved timesheets passing into payroll input, new-hire records created once and carried into ADP, and expense approvals reaching the run before it closes.

A fourth item's an alert rather than a handoff. A late-run warning goes to Slack, the team chat tool, so someone sees a stalled run while it can still be fixed.

A timesheet-to-payroll workflow

In the flow below, approvals, new-hire records and expense approvals pass through an Activepieces flow into ADP payroll input, with a late-run alert going to Slack. Take from it the label that matters: it doesn't run payroll.

Flows are unlimited on every Activepieces plan, including the free one, so a flow like this doesn't depend on which tier you pick.

ADP still calculates, files and pays; Activepieces only delivers what ADP needs, once someone has approved it, and at 1 credit a run the Free plan's 1,000 monthly credits cover 1,000 such runs.

In practice, the trigger is the approval itself. The flow checks that required fields are present, writes the record to the payroll input, and posts to Slack if the run hasn't been confirmed by your internal cutoff.

Which ADP connection you can use depends on your plan and what ADP enables for your account, so confirm that before you design around it.

That check belongs in your quote conversation, not after signing.

Skip it when headcount's small and changes are rare, because a few manual entries a cycle cost less than building and maintaining a flow.

Skip it too when approvals happen by email or in conversation with no consistent record; automation will only move the mess faster. Fix the approval habit first, then automate the handoff.

A Monday-morning checklist for pricing ADP payroll

Once approvals are fixed and the handoff is automated, the remaining job is to price the run you actually have. Six steps in order will do that before any contract gets signed.

  1. Count employees and pay frequency. Include part-timers, seasonal staff and anyone you pay through the system, then note whether you run weekly, biweekly, semimonthly or monthly. Per-run charges multiply with frequency, so a weekly schedule can cost far more than the same headcount paid monthly.
  2. List the add-ons you need. Write down time tracking, benefits administration, HR support, tax filing and anything else you'd otherwise handle by hand. An add-on left off this list shows up later as a line item you never budgeted for.
  3. Request an itemised written ADP quote. Give them the exact figures from steps one and two and ask for every charge on its own line. A verbal number can't be compared with anything, and a bundled total hides which client or department is quietly carrying someone else's costs.
  4. Ask the hidden-cost questions. Ask what setup and implementation cost, what year-end forms cost, whether corrections or off-cycle runs are billed separately, what happens to the price when headcount changes mid-term, and what it costs to leave. Get each answer in writing, because those are the charges that move the invoice after you've committed.
  5. Get a competing quote. Send the same spec to at least one other provider. The point isn't necessarily to switch; it's to see whether ADP's itemised lines hold up, and to have leverage when you negotiate.
  6. Set a renewal reminder. Put the date in your calendar well ahead of the term's end, with a second prompt to re-count headcount and pay frequency. Renewal's when rates tend to shift, and you want to reprice from current usage rather than accept the old arrangement by default.

Frequently asked questions

Even with a comparable monthly total, a few questions remain that the six steps can't settle, meaning monthly cost similarity doesn't fully determine plan choice. Each answer below either points to what ADP's pricing page covers or says the figure needs a quote.

Setup fees and plan changes

Does ADP charge a setup fee for payroll? It can, and ADP's pricing page doesn't settle it for your account, so this needs a quote. Ask for implementation costs as a separate line in writing.

A fee waived on a call but absent from the paperwork's a cost you absorb later.

Can I switch ADP payroll plans mid-year? That depends on your agreement, so it needs a quote. Before signing, ask whether you can move tiers during the term and whether year-to-date payroll history carries over.

If it doesn't, an upgrade mid-year can mean reconciling two sets of records at year-end.

Pay frequency, tax filing and headcount

Is ADP payroll cheaper if I pay monthly instead of biweekly? Not necessarily, and the pricing page doesn't say, so state your pay frequency when you request the quote.

If a plan charges per pay run, fewer runs lower the bill. If it charges a flat per-employee fee, frequency changes nothing. You need to know which model you're on.

Does ADP payroll include tax filing? Check the plan comparison on ADP's pricing page, because inclusion differs by tier. Confirm in the quote whether filing and year-end forms sit in the base price or in an add-on.

If they're add-ons, your comparable total from the earlier steps should include them.

What happens to my ADP price when I hire more employees? It rises, because headcount is one of the inputs ADP prices on, but the exact steps need a quote.

Ask where the pricing bands break and what the per-employee rate becomes above each break. Without that, a growing team can quietly push you into a tier you never budgeted for.
